Privacy Policy

Vegas Pools AI (“we,” “us,” or “our”) operates vegaspools.ai and the SMS review-collection service offered to pool service companies and their customers. This Privacy Policy describes what information we collect, how we use it, and your choices regarding it.

1. Information We Collect

We collect the following categories of information:

• Contact information — name, mobile phone number, email address, and service address — provided by you or by the pool service company you have hired.
• Service information — the type of pool service performed, completion date, and the technician’s first name, used to personalize the review request message.
• Message activity — the SMS messages we send to you and any replies you send back, including STOP/HELP keyword usage, used to honor opt-out requests and audit compliance.
• Audit form submissions — if you book a free pool ops audit on our website, we collect the contact details and pool information you submit on that form.

2. How We Use Your Information

We use your information solely to:

• Send you a single SMS review request after your pool service is completed, with at most one re-prompt 5 days later if you do not reply.
• Honor opt-out (STOP) and help (HELP) requests and maintain the required audit log.
• Provide service to the pool service company you have hired (e.g., delivering review counts and engagement metrics on their dashboard).
• Comply with legal obligations and respond to lawful requests.

3. SMS-Specific Privacy Practices

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of personal information listed above are subject to the disclosure provisions of this Privacy Policy. Information you share related to text messaging — including your phone number and opt-in status — is used only for the SMS review-collection service described in our Terms and Conditions, and is never sold, rented, or shared with third parties for marketing.

Message frequency is capped at 2–3 messages per pool service job. Reply STOP at any time to opt out of all future messages from us. Reply HELP for support information. Message and data rates may apply.

4. How We Share Information

We share information only with:

• Your pool service company — they receive engagement metrics (counts of messages sent, replies, opt-outs) about their own customers via their admin dashboard. The pool service company is the data controller for the customer relationship; we act as a data processor on their behalf.
• Service providers we rely on to operate the service — Twilio (SMS delivery), Supabase (database hosting), Vercel (web hosting), and Resend (transactional email). Each processes data under their own privacy and security commitments and is permitted to use the data only to provide their service to us.
• Legal authorities when required by law, valid legal process, or to protect our rights and safety.

We do not sell your personal information. We do not share it with advertisers or data brokers.

5. Data Retention

We retain message logs and customer records for the duration of the pool service company’s relationship with us plus 24 months thereafter, or longer where required by law (e.g., TCPA compliance evidence). Opt-out records are retained indefinitely so we never re-contact you after you have opted out.

6. Your Rights and Choices

• Opt out of SMS — reply STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT to any message we send.
• Access, correction, or deletion — email ryan@vegaspools.ai with your request and the phone number or email address associated with your records.
• California residents (CCPA/CPRA) — you have the right to know what personal information we hold, request deletion, and opt out of any “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under the CCPA/CPRA.

7. Data Security

We use commercially reasonable safeguards to protect your information, including TLS encryption in transit, encrypted storage at rest with our cloud providers, access controls limited to authorized personnel, and regular review of vendor security practices. No method of transmission or storage is perfectly secure; we cannot guarantee absolute security.

8. Children

Our service is not directed to individuals under 18. We do not knowingly collect personal information from anyone under 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will reflect the most recent revision. Material changes will be highlighted in a notice on our homepage.
